Student Assistants

Each year a limited number of part-time, on-campus positions are made available for eligible CSUSB students. Such employment not only provides students with a means of earning money, it also provides students an opportunity for them to develop new skills and positive work habits. Students are expected to consistently execute job responsibilities in a satisfactory manner.

Student Assistants (SA) are students employed on campus other than those employed through the Federal Work-Study program. A SA position is considered part time temporary employment. The hiring supervisor determines the hourly wage and length of employment by the workload and availability of funding. Department secures position number from the College/Department MPP or Budget Officer with authority to authorize hiring SA/Bridge SA or NRA. The position number must be appropriate for the classification type.

SA's must meet the following requirements to participate in the Student Assistant program:

  • Enrolled in a minimum of 6 units at CSUSB
  • Maintain good academic standing
  • SA hours may vary depending upon the department's needs and availability of funding.
  • SA's are permitted to work a maximum of 20 hours per week when classes are in session. During authorized vacation periods and approved breaks, SA's may work up to 40 hours per week depending on funds.
  • There is no provision for paid holidays or overtime.

There is no limit on the number of jobs a SA may have. However, the total hours worked cannot exceed 20 hours when classes are in session and 40 hours during authorized vacations periods.

Hiring Process

The hiring department will provide you with the following documents or visit our website under "Applications & Forms".

  • Student Assistant Employment Transaction Request Form
  • Confidentiality Compliance Form
  • Routing Slip

Take all the above forms to the Student Employment Team (SET) window located at UH-150. Bring with you the following items to complete the hiring process:

  • Un-laminated Social Security Card (Note: A social security card will not be accepted if card includes the statement "not valid for employment")
  • A second form of photo ID

Bridge Student Assistant Positions

Each year a limited number of part-time, on-campus positions are made available for eligible CSUSB students. Such employment not only provides students with a means of earning money, it also provides students an opportunity for them to develop new skills and positive work habits. Students are expected to consistently execute job responsibilities in a satisfactory manner.

Continuing Student Assistants who are employed between academic years (quarters) must be "Bridge" if there is a break in their enrollment for 5 weeks or more. For example, if a student chooses to attend a minimum of half-time status during spring quarter and chooses to take a break from classes during the summer quarter, the “Bridge” classification must be used to provide employment during the summer quarter as long as the student is enrolled in a future quarter such as fall. Please note Bridge employment is not eligible for FICA exemption. Students must pay FICA retirement and Medicare taxes. Employer share of FICA must be paid as well.

Bridge SA's are employed on campus other than those employed through the Federal Work-Study program. A Bridge SA position is considered part-time temporary employment. The hiring supervisor determines the length of employment by the workload and availability of funding. Bridge SA must meet the following requirements:

  • Was enrolled in a minimum of 6 units during the prior quarter
  • Enrolled in a minimum of 6 units for the future quarter
  • Maintain good Academic standing

Bridge SA hours may vary depending upon the department's needs and availability of funding. However, Bridge SA are not permitted to work more than 40 hours per week. There is no provision for paid holidays or overtime.

Non-Resident Alien Student Assistant Position

Non-Resident Alien Student Assistants (NRA) are international students attending CSUSB under the F-1 and J-1 visa categories (Undocumented students and other non-immigrant visa categories such as H-1, J-2, B-2, etc do not apply). As other student assistant categories, NRAs must meet the following requirements:

  • Receive eligibility to participate in the CSUSB employment program
  • Enrolled in a minimum of 6 units at CSUSB
  • Maintain good academic standing

The NRA position is considered part time temporary employment. The hiring supervisor determines the hourly wage and length of employment by the workload and availability of funding. Appointments are contingent upon the NRA student's enrollment status.

NRA student hours may vary depending upon the department's needs and availability of funding. However, NRA students are not permitted to work more than 20 hours per week when classes are in session. During authorized vacation periods and approved breaks, NRA students may work up to 40 hours per week depending on funds. There is no provision for paid holidays or overtime.

There is no limit on the number of jobs a NRA student may have. However, the total hours worked cannot exceed 20 hours when classes are in session or 40 hours during authorized vacations periods.

Hiring Process

Once you have obtained the above documents from the hiring supervisor you must do the following:

  • Visit the International Center office at UH-235 to complete following forms:
  • Alien Information Collection form
  • I-9 form

You will need to present proof of eligibility to work as described by the Immigration and Naturalization Act of 1986 at the time of employment. Acceptable forms of ID are:

  • A current driver’s license or a state issued ID card
  • An un-laminated original social security card (Note: A social security card will not be accepted if card includes the statement "not valid for employment")
  • I-20.
  • Valid passport and I-94.

The International Center will determine your eligibility to participate in the CSUSB employment program and have you sign the Alien Information Collection and I-9 forms.

Visit the Non-Resident Alien Tax Accountant office in AD-160 to complete the applicable payroll documents.

Take all the above listed documents to the Student Employment Team (SET) window located in UH-150. Bring your un-laminated social security card and a second form of photo ID to complete the hiring process.

Time Sheet Instructions

Students are required to complete a monthly time sheet to receive monetary compensation for the services they provide. The supervisor will provide the student worker with a paper timesheet http://finaid.csusb.edu/FORMS/wstimest.pdf or one may be printed at timesheet. A time sheet should be an accurate listing of the actual time and dates worked. The supervisor will verify that the hours worked are accurate. This document is the student’s record of hours worked for the pay period. The supervisor will submit the student’s monthly hours to the payroll reporter or directly to payroll. Students must be paid for all hours worked.

The following information should be checked on the time sheet for accuracy:

  • No hours for a payroll period other than the one reported
  • Partial hours reported in .50 increments
  • The 20 hour per week limitation/40 hours during authorized vacation periods
  • Correct mathematical calculations
  • Class schedule information completed
  • Timesheet signed by student and supervisor
  • All corrections on time sheet are initialed by student and supervisor in ink
  • No paid lunch, the Fair Labor Standards Act mandates a half-hour (30min) unpaid break be provided for every 6 hours worked per day
  • Students are entitled to a 15 minute paid break for every 4 consecutive hours worked

Student employees are paid around the 10th of each month. Monthly paychecks will be available for pick-up at the Bursar’s Office SH-102 or student paychecks can be directly deposited to the student’s bank account. Please contact the Payroll office at SH-103 to request a Direct Deposit authorization form to enroll in direct deposit.

The payroll calendar lists the pay periods and paydays during the current academic year.
